Purpose

The fifth stage is the implementation stage, where the projects are carried out and the small actions are embedded into the day-to-day activities. Every six months the organisation monitors and evaluates how things are going, and decides new actions for the six months ahead.

Preparation

For writing up the Information and Knowledge Strategy

  1. You will need the Information and Knowledge Strategy template, which you can download in the "Tools" section below.
  2. Ask the management team of your organisation to decide if they want to obtain formal Board approval or endorsement for the Strategy.

For the progress review workshops

  1. Arrange a date, workshop venue and catering.
  2. Prepare an agenda for the workshop using the timings for each workshop component, which you will find in the "How to" guides for this Stage. The workshops could either be run mid-morning to mid afternoon around a lunch break, or as morning or afternoon session around morning or afternoon tea. The best place to have the lunch, morning or afternoon tea break is between the How to review progress and How to decide new action items workshops (the How to review progress workshop is made up of two workshop sessions, but to keep the flow of thought it's best to not put the break in the middle of the How to review progress workshop sessions).
  3. Invite the managers and staff of your organisation, encouraging as many of them as possible to participate. Involve the people who previously participated in the Information and Knowledge Strategy process and also any new managers or staff (their perspectives will be still be very valuable even though they may be unfamiliar with the Information and Knowledge Strategy development). You may also like to involve your Board members, particularly if they participated in the Information and Knowledge Strategy development process.
  4. Source the materials listed in the "How to" guides for this stage.

Agenda

  1. Write up your Information and Knowledge Strategy.
    • You may also like to submit your Information and Knowledge Strategy for formal approval or endorsement by your Board.
  2. Then every three to six months convene a workshop to:

Key Deliverables

  • Formal Information and Knowledge Strategy document.
  • Staff and board members understand how they are going with implementing the projects and small actions.
  • New and updated actions for the next three to six months.

Duration

  • 1 or 2 days for the designated staff member to write up the Information and Knowledge Strategy.
  • 1 day for each three- or six-monthly review workshop.

Participants

Next steps

  • Continue to review progress and decide new actions every three to six months.
  • After 3-5 years it is likely that the circumstances of your organisation will have changed significantly, for example a considerable change in staff. At this time you may wish to repeat the whole Information and Knowledge Strategy process.
